Electronic Medical Records Get a Clean Bill of Health: a DocuWare Case Study

The Providence Center is a mental health and substance use treatment center serving over 11,000 clients a year  throughout Rhode Island and Southeastern Massachusetts who are affected by psychiatric illnesses, emotional problems and addictions.

Challenge: The Providence Center needed to implement an electronic medical records solution that would eliminate the need for maintaining and delivering paper medical records in support of providing day-to-day clinical services. A complete electronic medical record was needed that contained both demographic and contact information, as well as evaluation forms, lab reports and other documents that were normally kept on paper.

Solution: The Providence Center chose to implement DocuWare as the electronic document repository portion of its information management system. The DocuWare Software Development Kit allowed The Providence Center to integrate its custom document development software to support automatic indexing and document storage, further increasing the quality of the record by reducing human error. Moving to a completely electronic medical record has further improved record quality by allowing electronic audits to link services tracked in one database against documentation stored in DocuWare. Now, clinical records are available around the clock from any location via a secure Web connection, and the system automatically correlates services and creates one complete electronic record for each client.

“One of our major goals with the project was to eliminate the concerns that our staff would not have access to the medical record in time to provide services. We wanted to implement a document management solution that was completely electronic regardless of how the documentation originated,” said Bill Cadieux, chief information officer at The Providence Center. “We loved that DocuWare was based on industry standards and utilized an industry standard relational database, but the fact that DocuWare’s support department was really committed to meeting our needs is what really sold us on the product.”

Delta Chemical: DocuWare Case Study

Delta Chemical Corporation, a manufacturer of industrial and consumer grade sodium hypochlorite, was running out of storage space. They had more paper documents than places to store them. As a small company, they didn’t want to add more man-hours to the task of storing and managing their documents but rather wanted to invest in a solution to automate these processes.

Delta Chemical needed to find a document management solution that could be integrated into their existing custom software programs, including their accounting system. Because Delta’s products are sold by weight and priced on the content of active ingredient, the company needed a solution that could accurately link their sales and accounting documents such as invoices and bills of lading, with documents like weight certificates and certificates of analysis, in order to streamline the management of information and improve their billing processes. 



To automate Delta’s workflow and eliminate their dependence on paper documents, DocuWare and a Panasonic Kvs2046c scanner were implemented. Today, once an order is placed, test results or a certificate of analysis is created and stored in DocuWare. The weight certificate is stored in an open order system until the invoice for that order has been created. The order number is added to both the invoice and certificate. Once the order number has been input, the documents are processed in the accounting program and automatically indexed and stored in DocuWare. DocuWare’s solution has improved information access and sped up cash flow through the use of electronic invoicing.

“Having DocuWare integrated with our existing software applications was our objective from the very beginning and was easy to achieve,” said Bob LeBrun, Manager of Information Systems for Delta.

5 Reasons to Use DocuWare in Place of the LOB Application Plug-In

Many line of business (LOB) applications such as accounting, legal case management, ERP, etc. offer a "document imaging" plug-in or module.  Why should you use DocuWare instead of the plug-in?  There are multiple reasons:

1) Multiple File Format Support
Many LOB applications will handle only a limited number of files such as TIFF, PDF, or Word.  Using an application such as DocuWare allows you store many different file formats without having to convert, print and rescan, or store external to the application.

2) Flexibility
A LOB application with an imaging module can tie the business to that application long term or result in a loss of investment if they are to switch to a different LOB application.  Using DocuWare allows them the flexibility to choose the best LOB for the office and DocuWare for long term management of documents and content.  With a tool like Smart Connect, DocuWare can integrate with the LOB application and act as an "imaging module" while protecting their investment.

3) Unlimited Workflow, One Solution
A LOB application's workflow is limited to the types of documents that it can store as well as the licensed users for the LOB application.  Having too many users in the LOB application may result in an added expense or open up confidential info to users that would not otherwise need access. DocuWare's security features allow businesses to have one company-wide solution instead of several different products for different departments with their LOB application(s).

4) Multiple Search Options Viewed in One Place
DocuWare can return several different document types, i.e. PO, AR invoice, AP Invoice, check, etc. with one search as opposed to having to look in the LOB application for part of the information, and then other repositories if the information is stored elsewhere.

Designed for Success: Jaya Apparel Group Case Study

Jaya Apparel Group, a designer and manufacturer of clothing for boutiques and large department stores, needed an electronic document management system to improve their workflow by routing documents through a multi-step process, without using email. The solution needed to integrate with their AS/400 based ERP system and be able to automatically index and archive Electronic Data Interchange or EDI transmissions, and serve as an archive for hand-written documents which would be scanned and imported. Additionally, the company wanted a solution that could be tailored for their use without custom programming.

DocuWare was implemented, along with two scanners and two existing MFPs. Today, EDI information is automatically indexed and stored in DocuWare. Hand-written information such as customer PO’s from their 800 boutique customers are manually indexed, serving as a permanent record of which orders were placed. The almost instantaneous access to order information for both the customer service department and accounting department offsets the time spent on manual indexing. By using electronic filing and digital workflows, the company has a searchable, permanent record of every transaction.

“Our DocuWare solution has been more effective than I imagined after I saw the demo,” said Don Lewis, chief financial officer at Jaya Apparel Group. “It has paid for itself within six months. Our Return on Investment with DocuWare has been very dramatic.”
