Whether net, gross, VAT or delivery charge – with Intelligent Indexing you can automatically extract up to five different amounts from your documents and have them transferred right into DocuWare.
There are many different amounts that appear on invoices, which may be relevant to your organization and needed for pre-booking, invoice verification, posting or even a tax audit. Such as...
- Net sums
- Gross sums
- VAT amount at reduced rate
- VAT amount at full rate
- Delivery or postage + handling
With Intelligent Indexing beginning with DocuWare Version 7, you can automatically extract two more amounts from invoices and have them transferred into DocuWare index fields.

Open Configurations via the DocuWare main menu. Click on File Cabinets and select one – such as your Invoices file cabinet.
Go to the Dialogs tab to select the necessary store dialog. If you are already using Intelligent Indexing in this dialog, just click Configure Dialogs. Otherwise, first enable Intelligent Indexing for the dialog.
When you assign your index fields to the fields in Intelligent Indexing, the two new fields of Intelligent Indexing, Custom Amount 3 and Custom Amount 4, will be available:

The self-learning system is part of every DocuWare Cloud license. As a DocuWare Cloud customer, you only need to enable the above-mentioned option for Intelligent Indexing and off you go.
If you are using DocuWare as an on-premises system, Intelligent Indexing is available as an additional license in two different ways: as a web-based service with all the advantages of machine learning from the crowd or as a stand-alone module within your data center.
